Accountant - Postal Operations

Position Summary

The Accountant – Postal Operations will perform essential accounting and administrative tasks to support the company in maintaining accurate and timely postal and operational records and reports. Responsibilities include managing daily postage reconciliation, assisting with the transition from manual to automated workflows, and tracking job and postage cost data within the company’s systems. The Accountant – Postal Operations will collaborate with various departments to validate data, monitor processes, and plan for incoming work. This role requires precision in processes, strong Excel skills, effective problem-solving, and a high level of attention to detail.

Essential Job Functions

  • Perform daily data entry, data capture, and reconciliation of postage quantities, amounts, and service fees to ensure accuracy of postage charge associated with each customer order.
  • Work with Operations, Billing, and external vendors to ensure all postage charges are accurately reflected for each customer order.
  • Support the company’s postal team in resolving postal data discrepancies.
  • Facilitate postage workflow process improvements and collaborate effectively with cross-functional teams.
  • Other duties as assigned.

Qualifications

EDUCATION

  • Minimum Required: High School Diploma or Equivalent
  • Preferred: Bachelor’s Degree

EXPERIENCE

  • Minimum of 3-5 years of experience in roles involving general accounting, reconciliation, estimating, or administrative support capacity.
  • Experience working with data management systems, ERP, MIS, or job tracking software to enter, reconcile, and track transactional data.
  • Proficient in Microsoft Excel, with the ability to work with advanced functions, input and analyze data, and develop reports.
  • Prior involvement in process improvement initiatives, such as transitioning workflows from manual to automated systems, is preferred.
  • Experience communicating and coordinating with internal departments and external vendors.

KNOWLEDGE & SKILLS

  • Experience with data entry and job tracking systems (e.g., ERP, MIS platforms). Midnight and NetSuite exposure preferred.
  • Excellent analytical and problem-solving skills with high attention to detail.
  • Experience with commercial print mail and postal standards is desired.

PHYSICAL EFFORT

  • Required to perform basic functions typically employed in an office setting physically.
  • Prolonged periods of sitting at a desk and working on a computer.

WORK ENVIRONMENT

  • Typical office: Standard, climate-controlled office setting.
  • Production facility: Moderate noise level.
  • Onsite

Compensation Benefits

Starting Salary: $58,000
