What Is Intelligent Inserting?
Intelligent inserting is an automated document assembly and envelope insertion process that verifies each mailpiece is assembled as intended before sealing and mailing.
The process confirms that all parts of a mailpiece are present, belong to the same recipient, and are in the correct order.
If a mismatch is detected, inserting systems stop the piece from mailing and flag it for review.

How Does Intelligent Inserting Work at D4?
On D4’s production floor, intelligent insertion is carried out with the BlueCrest MSE Inserter. Here’s a simple overview of how our process works:
1. 2D Barcodes Are Placed on Each Document: D4 uses input 2Ds for insertion and output 2Ds for document tracking.
2. Input 2Ds Are Scanned Automatically: Each barcode tells the inserter how many more pieces to expect per envelope.
3. Documents Are Inserted: Each document is automatically placed into the right envelope.
4. Out-of-Sequence Documents Are Rejected: If a document is scanned that contains an out-of-sequence 2D barcode, it is flagged and rejected by the machine.
5. Review: Any rejected pieces are checked by our Quality Control Associates, so they can be assembled and mailed correctly.
We’ve created a handy guide to 2D barcoding that breaks down our workflow even further.

Who Uses Intelligent Inserting?
Organizations across industries use this system. It’s an especially valuable tool in compliance-driven workflows, where accuracy is of the utmost importance.
These are examples of documents whose workflows may feature intelligent inserting:
- Financial statements and notices.
- Patient statements and EOBs for healthcare organizations.
- Government and regulatory mail.
- High-volume customer correspondence, in any industry.
Reducing Mailing Errors
Manual inserting relies on human handling, which carries risks.
A tired or distracted employee could insert the wrong document or fail to notice a mistake.
Intelligent inserting helps you lessen these errors.
Missteps are automatically flagged before a document is inserted into an envelope.
This helps prevent incomplete and incorrect mailpieces from entering the mailstream.

Supporting Data Security and Compliance
If a client or customer accidentally receives part of a mailpiece that was intended for someone else, it can impact your brand reputation.
Worse, if you’re in a highly regulated industry, then that document could contain sensitive information. Thus, mismatched mailpieces are a potential source of compliance violations.
Automated inserting workflows support compliance by ensuring documents stay together.
No parts of the mailpiece are left out, and no additional sheets are added.
Improving Operational Efficiency.
Intelligent inserting allows organizations to:
- Increase their production speeds.
- Reduce time spent on manual checks.
- Reduce reprints and remails caused by errors.
- Identify issues earlier in the workflow.
- Standardize quality across different mail jobs.
At D4 Solutions, we prioritize getting documents in the hands of your customers, securely, accurately, and on time.
That’s why intelligent insertion is a key part of our process.
